Section 01

Purpose of This Accessibility Statement

This Accessibility Statement describes FormatOS's approach to accessibility and usability. It applies to the website's file conversion tools, content pages, legal and trust pages, contact page, navigation, upload flows, conversion controls, download links, and other user-facing information.

FormatOS aims to make the website easier to use for people with different devices, abilities, browsers, screen sizes, and interaction needs. We recognise that accessibility is relevant to a wide range of users — including those who rely on keyboard navigation, assistive technology, reduced motion settings, high-contrast displays, magnified text, or mobile devices.

Accessibility is an ongoing effort. This statement reflects our current approach and may be updated as the website evolves and improvements are made.

Section 02

Our Accessibility Goals

FormatOS aims to provide a clear, practical, and usable experience for file conversion. Our accessibility goals for the website include:

  • Clear page structure and logical heading hierarchy
  • Readable typography with sufficient size and spacing
  • Strong visual hierarchy that guides users through tasks
  • Simple, predictable navigation across all pages
  • Mobile-friendly layouts that adapt to different screen sizes
  • Keyboard-friendly controls where practically supported
  • Understandable upload and conversion steps
  • Clear buttons and links with descriptive text
  • Helpful error messages that explain what to do next
  • Adequate color contrast for body text and key UI elements
  • Responsive design that works across desktop, tablet, and mobile
  • Plain-language explanations of technical topics
  • Consistent legal and trust pages that are easy to navigate
  • Reduced visual clutter to support focus during file conversion

These goals represent what we are working toward, not a guarantee of perfect accessibility in every situation. We aim to improve progressively and welcome feedback from users who encounter barriers.

Reminder to check the converted output

File conversion is the core function of FormatOS. We aim to make the conversion workflow as clear and easy to follow as possible by providing:

  • Clear, well-labelled upload areas that explain what to do
  • Visible guidance on which file formats are supported
  • Understandable input labels and format selection controls
  • Clear, identifiable conversion action buttons
  • Clear output format selection where multiple options exist
  • Conversion progress or status messages where available
  • Helpful validation messages that explain why a file was rejected
  • Clear error messages when conversion fails, including what to try next
  • Download actions that are easy to identify and activate
  • Clear instructions explaining what users should do after conversion
  • Reminders to review converted files before relying on them

Some files, formats, browsers, or devices may behave differently. Conversion steps may vary depending on the file type and technical implementation in use. Users can contact FormatOS through the Contact page if a conversion flow is difficult or confusing to use.

Section 04

Keyboard Navigation

FormatOS aims to support keyboard-friendly navigation where practical. Users should be able to move through important links, buttons, form fields, upload controls, and conversion controls using keyboard navigation where supported by the browser and implementation.

Keyboard accessibility goals include:

  • Focus states that are visible and distinguishable from normal states
  • Interactive elements reachable in a logical, predictable tab order
  • Keyboard-operable upload controls and conversion buttons where supported
  • Avoiding trapping keyboard focus unnecessarily on any part of the page
  • Skip-to-content or logical heading structure to support keyboard users

We aim to support keyboard accessibility where practical and will continue improving this as the site evolves. Some upload controls and interactive elements may depend on browser behavior or third-party components and may have varying keyboard support depending on the context.

Keyboard issues? If you find a part of FormatOS that cannot be reached or operated using a keyboard, please let us know through the Contact page.

Section 05

Screen Reader and Assistive Technology Support

FormatOS aims to improve compatibility with assistive technologies by applying the following practices across the website:

  • Meaningful, hierarchical heading structure
  • Descriptive link text that explains where a link goes
  • Clear, action-oriented button labels
  • Form labels associated with input fields where practical
  • Helpful alt text for meaningful images and icons
  • Logical page structure and reading order
  • Accessible error messages where practical
  • Text-based explanations for important actions
  • Avoiding reliance on visuals or color alone to convey meaning
  • Aria attributes where they improve screen reader clarity

Assistive technology support may vary depending on the browser, device, operating system, and third-party components in use. We do not claim full certified compatibility with every screen reader or assistive technology. Users who experience screen reader or assistive technology issues can report them through the Contact page.

Section 06

Readability and Content Clarity

FormatOS aims to make its content readable and understandable to a wide audience, including non-technical users, users for whom English is not a first language, and users who access the site on smaller screens or with limited time.

Readability practices include:

  • Clear, descriptive headings on every major section
  • Short, focused sections that cover one topic at a time
  • Plain English as the primary writing style
  • Scannable explanations with bullet points and visual breaks
  • Helpful plain-English summaries at the top of longer pages
  • Logical page structure so users can find information quickly
  • Avoiding unnecessary acronyms or unexplained abbreviations
  • Explaining technical file format terms where they appear
  • Clear legal and trust pages that avoid dense walls of text
  • Clear file handling guidance that users can actually act on

Readability is closely connected to trust. A page that users cannot understand is not a useful or accessible page, regardless of its technical implementation. We apply the same readability standards to legal, trust, and file handling content as we do to tool pages.

Section 07

Color, Contrast, and Visual Design

FormatOS aims to use readable color contrast, clear visual hierarchy, and sufficient spacing to make the website easy to scan and use.

Visual design accessibility goals include:

  • Adequate contrast between body text and background surfaces in both light and dark modes
  • Avoiding communicating important information through color alone
  • Buttons, links, warnings, and status messages that are visually distinct and clear
  • Consistent visual patterns for interactive elements across the site
  • Light mode and dark mode designs that remain readable and usable
  • Sufficient spacing between interactive elements to reduce accidental activation on touch screens
  • Visual focus indicators for keyboard navigation that are easy to see

Design improvements may continue as the website evolves. We do not claim specific verified contrast ratios at this time. Users who find a part of the site difficult to read due to contrast or visual design can report it through the Contact page.

Light and dark mode. FormatOS supports light and dark display modes. Both modes are designed to remain readable, clearly contrasted, and consistent in usability.

Section 08

Forms, Uploads, and Error Messages

FormatOS aims to make forms and file workflows easier to use through clear labelling, helpful guidance, and understandable error feedback:

  • Clear labels on all form fields and input controls
  • Understandable upload area instructions explaining what to do
  • Helpful supported-format messages before a file is uploaded
  • Clear indicators of required fields where applicable
  • Useful validation messages that explain what needs to change
  • Error messages that explain what went wrong and what to try next
  • Simple, clean contact form design that is easy to complete
  • Clear download and retry actions after a conversion

When a file conversion fails or is rejected, the error should explain what happened clearly. Errors may occur for reasons such as:

  • Unsupported file type or format
  • File exceeds the size limit
  • Corrupted or damaged file
  • Password-protected file
  • Encrypted file structure
  • Browser or device limitations
  • Server limitations or load
  • Temporary technical issues

The goal is to make errors understandable and actionable — not confusing, alarming, or dead-end experiences.

Section 09

Mobile and Responsive Accessibility

FormatOS aims to work well across desktop, tablet, and mobile devices. Responsive design is part of the site's core approach, not an afterthought.

Mobile accessibility goals include:

  • Layouts that adapt to different screen widths and orientations
  • Upload and conversion controls that are usable on touch screens
  • Text that remains readable without requiring horizontal scrolling
  • Navigation that remains clear and usable on small screens
  • Buttons and interactive targets with sufficient touch area
  • File download links that work reliably on mobile browsers
  • Legal and trust pages that are scannable on mobile devices

Some behavior may vary by browser, operating system, file type, or device. Users who experience mobile usability issues can contact us through the Contact page.

Section 10

Third-Party Content and Services

FormatOS may use third-party services to operate the website and provide the conversion service. These may include services for:

  • Web hosting and server infrastructure
  • Analytics and usage monitoring
  • Security and bot protection
  • Performance and content delivery
  • Advertising and ad delivery
  • File processing infrastructure
  • Contact forms and communication
  • External links and references

Third-party services may have their own accessibility practices, limitations, and characteristics. FormatOS does not fully control every third-party tool, advertisement, browser feature, or external website. We aim to choose third-party services that are reasonably usable and do not significantly disrupt the core experience.

For issues caused by external services, users may contact the relevant third-party provider directly. Users may also report third-party accessibility concerns through the FormatOS Contact page and we will consider whether the concern can be addressed at our level.

Section 11

Advertising and Accessibility

FormatOS may display advertisements through third-party advertising partners or advertising networks. Advertising helps support the ongoing operation, maintenance, and improvement of the website and its conversion tools.

FormatOS aims to keep advertising from interfering with core file conversion usability where reasonably possible. This means:

  • Advertising should not block or obscure upload controls, conversion buttons, or download links
  • Core conversion workflow steps should remain clearly distinguishable from advertising content
  • Advertising placements should not disrupt page focus or keyboard navigation flows where reasonably avoidable

Advertisements may be delivered by third-party systems and may have their own accessibility characteristics that FormatOS does not fully control. The appearance of an advertisement does not mean FormatOS personally endorses the advertiser, product, service, claim, or website. Users can report advertising-related accessibility concerns through the Contact page.

Section 12

Known Limitations

Despite our goals, accessibility barriers may still exist on FormatOS. Known or likely limitation areas include:

  • The website may still be evolving, and some pages or tools may not yet meet all accessibility goals
  • Some file upload controls rely on browser behavior that varies across browsers and assistive technologies
  • Some conversion workflows may be technically complex and harder to simplify without affecting functionality
  • Some third-party services used by the site may have their own accessibility limitations
  • Some older browsers or devices may behave differently from modern environments
  • Some visual or interactive elements may need continued improvement
  • Generated or converted output files may not automatically be accessible

We are honest about these limitations because we believe transparency helps users make better decisions about which tools to use. We aim to address known issues progressively and welcome feedback that helps us identify areas we may have missed.

Converted file accessibility. Converted output file accessibility depends on the original file, output format, software, and user review. FormatOS does not guarantee that converted files will automatically meet accessibility standards.

Section 13

Converted File Accessibility Disclaimer

FormatOS may help you convert file formats, but it does not guarantee that the converted output will be accessible, or that accessibility features present in the original file will survive conversion.

During conversion, accessibility features such as the following may change, be lost, or behave differently in the output:

  • Document tags and reading order
  • Alt text on images
  • Caption and subtitle tracks
  • Heading structure and hierarchy
  • Form field labels and descriptions
  • Bookmarks and navigation anchors
  • Table structure and headers
  • Document metadata
  • Language attributes
  • Embedded accessible descriptions

Users are responsible for reviewing converted files and adding or restoring accessibility features where needed. For official, legal, educational, government, public-facing, or business-critical documents where accessibility is a requirement, users should verify the converted output using appropriate tools or qualified professionals before relying on it.

Section 14

Ongoing Improvement

FormatOS aims to improve accessibility over time. We recognise that accessibility is not a one-time task but an ongoing process that evolves alongside the website. Improvement areas may include:

  • Reviewing key pages and conversion workflows
  • Improving upload control labels and instructions
  • Improving keyboard usability where practical
  • Improving error messages for failed conversions
  • Improving mobile layout and touch usability
  • Improving contrast and readability across themes
  • Listening to and acting on user accessibility feedback
  • Updating content and layouts when issues are identified
  • Improving assistive technology compatibility where possible
  • Reviewing third-party services for accessibility impact

Accessibility is an ongoing process, and we may update this page as improvements are made. User feedback is a meaningful part of how we identify what to address next.

Section 15

  • A short description of what you were trying to do
  • What happened instead of what you expected
  • Any assistive technology you were using, if you are comfortable sharing

You do not need to provide all of these details — any information you can share helps us understand and address the issue more effectively.

Section 16

Response Expectations

FormatOS will review accessibility feedback where practical. We appreciate hearing about barriers that users encounter and aim to consider each report carefully.

Please be aware that:

  • Some issues may take time to investigate, prioritise, and address
  • Not every request can be implemented immediately — some may depend on third-party components, browser behavior, or significant technical changes
  • We may not be able to respond individually to every accessibility report received
  • Feedback helps improve the website for more users, even when a direct response is not possible
  • Critical usability barriers that affect core functionality may be prioritised where practically possible

We do not promise a fixed response time for accessibility reports, but we aim to handle feedback responsibly and to use it to make the website better over time.

Section 17

Changes to This Accessibility Statement

FormatOS may update this Accessibility Statement from time to time to reflect changes in website design, accessibility practices, file conversion workflows, third-party services, user feedback, technical implementation, or legal expectations.

When meaningful updates are made, the "Last updated" date shown at the top of this page will be revised. We encourage you to review this page periodically, particularly if you regularly use FormatOS with assistive technology or other accessibility tools.
